EXHIBITOR TERMS AND CONDITIONS

■ OBSERVATION OF RULES AND REGULATIONS
Companies and organizations that are to conduct exhibition, seminar, etc. in this event (hereinafter "exhibitors") must abide by the regulations set out below and rules presented by the organizer. If the organizer determines that an exhibitor has violated these rules and regulations, caused nuisance to a third party or committed an act in violation of public order and morality, the organizer may decline the exhibitor's application to participate, terminate its participation agreement, or instruct the exhibitor to remove or alter its booth, exhibits and decorations. In doing so, the organizer shall not reimburse any advance payment(s) made by the exhibitor, or compensate for any damage incurred by the exhibitor or any other concerned parties. Furthermore, the exhibitor must compensate for any damage caused to the organizer in full.

■ APPLICATION
Complete necessary details in the Application form with your signature, and return it either via e-mail or fax to the SCAJ Secretariat Office. The receipt of the Application form by the organizer and its approval for participation constitute a participation agreement. The organizer's issuance of an invoice represents confirmation that the application has been accepted. The organizer reserves the right to determine whether goods and services supplied by an exhibitor conform to the purport of this event, and whether or not they may exhibit in the event.

■ EXHIBITOR NAME
Make sure to provide the official company / organization name accurately in the Application Form, as it may be used in this event's notices, advertisements, official website, official program guide, etc.

■ ITEMS INCLUDED IN THE BOOTH FEE
  • Use of the venue, lighting and air-conditioning during the standard event hours
  • Basic booth installation including panels, light fittings and basic power outlets (Included facilities vary according to booth types.)
  • Installation and maintenance of shared facilities
  • PR, advertising and production of PR / advertising materials for the overall event
  • Secretariat planning and administration, safety management, site security, etc.

■ITEMS NOT INCLUDED IN THE BOOTH FEE
  • Decoration of exhibitor's own booth, transportation of exhibits and other materials into and out of the venue, booth administration
  • Additional electrical installation (primary and secondary) and electricity use
  • Plumbing and use of water
  • Use of the venue outside the standard event hours
  • Any other costs not included in the participation fee

■ PAYMENT
The organizer shall issue an invoice upon accepting each Application Form.  Exhibitors must remit the amount to the designated account in full by the due date described in the invoice.

Payment method: Payment shall be made in Japanese yen and the bank transfer charge is to be paid by the Applicant.

■ CANCELLATIONS
An exhibitor must notify in writing if it wishes to cancel part or all of the agreement of exhibition after an application is lodged. The cancellation fee detailed below is payable. If the payment cannot be confirmed by the due date, the exhibition agreement shall be terminated.  A cancellation fee is also charged in this case.
(1) Cancelled between the date of application and May 31, 2017 ・・・・ 50% of the participation fee
(2) Cancelled on or after June 1, 2017 ・・・・ 100% of the participation fee

■ BOOTH SPECIFIC REGULATIONS
(1) The organizer may determine booth positioning as well as seminar date / time / venue in view of each exhibitor’s exhibition scale, exhibit / seminar contents, past participation and sponsorship records. Regarding the booth positioning, Event Sponsors and Exhibitors with three or more standard booth spaces shall be allowed to request their booth positioning in the venue. All others shall be determined by lottery at the SCAJ2016 briefing, set to be held in 2016.
(2) Exhibitors are prohibited from leasing, selling, transferring or exchanging the use of an assigned booth(s) in part or full. Companies other than exhibitors cannot exhibit their items without approval from the organizer.
(3) Exhibitors are responsible for managing their decorations and exhibits during the exhibition and transportation. The organizer shall not be held liable for any damage, theft, loss or breakage of decorations and exhibits.

■ INSTALLATION AND DISMANTLING
Exhibitors must complete bringing decorations, exhibits, etc. to the venue, as well as taking or removing them all out of the venue, within the time frame defined in the “Exhibitor Manual”.  Exhibitors must compensate for all the damage incurred by the organizer because of exhibitors’ failure to remove all of the items or transport them out of the venue within the time frame.

■ FIRE CONTROL AND SAFETY
Exhibitors must abide by all the laws, rules and regulations on fire control and safety, applicable to the venue.

■ LIABILITY
An exhibitor is responsible for compensating for any damage it or its concerned parties cause to the venue, venue facilities, a third party or the third party’s properties, etc. The organizer is excluded from any liability.

■ CANCELLATION OR RESCHEDULING
Should an act of God or other contingency makes it difficult to hold the exhibition, the organizer may elect to reschedule or cancel it.  In this case, no participation fees and associated payments made shall be refunded. The organizer is not liable for any damage caused by such a decision.

■ DELIBERATION
The government language of this SCAJ2016 Exhibitor Terms and Conditions shall be Japanese. In case of discrepancies between the Japanese version of this and any translation, the Japanese version shall prevail. Matters not stipulated in this SCAJ2016 Exhibitor Terms and Conditions shall be handled in accordance with the provisions of the “Exhibitors Manual”.
